General conditions
The booking and purchase of any of the trips offered by PILGRIM implies full acceptance of these general terms and conditions of contracting.
These general conditions shall be governed by Royal Legislative Decree 1/2007 of 16th November, which approves the consolidated text of the General Law for the Protection of Consumers and Users and other complementary laws (Official State Gazette No. 287 of 30 November 2007), as well as any other applicable regulations in force.
A package travel, according to the applicable legislation in force, shall be understood as any trip that combines at least two types of services for the same journey, provided that they are contracted jointly with the same provider (in this case, Pilgrim Travel), or that, even if contracted through separate agreements or with different providers, they are:
- They are purchased at a single point of sale and selected before the traveller accepts payment.
- They are offered, sold, or invoiced at an overall/global price.
- They are marketed or sold as a “package travel”, “package”, “experience”, or a similar term.
- They are combined after a contract has been concluded that allows the traveller to choose between different types of trips and travel services.
- They are added afterwards to a previously contracted trip as new services that complement it.
The Agency has mandatory liability insurance as required by law. Likewise, all our trips include travel assistance insurance.
Additionally, optional coverage is available in case of unjustified cancellation, which the client may choose to purchase when booking the trip.
Booking of the package travel
The contractual relationship between the organizing Agency and the client is governed by these general terms and conditions, as well as by the technical sheet of the trip, which details its final content. The client is obliged to verify the documentation received from the organizing Agency, and any questions regarding it must be notified before the start of the trip.
The client will be responsible for the information provided in the booking form. PILGRIM is not responsible for any consequences that may arise from the submission of false or incorrect data by the client.
If the client requests a specific trip different from those offered on the website, it will be subject to a specific booking and cancellation policy, which the Agency will provide in each particular case. If no specific policy is indicated in the technical sheet of the trip, the general conditions set forth in this document will remain in force.
The organizing agency is PILGRIM TRAVEL, S.L. CIF: B27480045, with registered office at C/ MANUEL MURGUÍA, SN, EDIFICIO CASA DEL AGUA, 1st FLOOR, LOCAL Nº L1B, A CORUÑA, GALICIA, España. CP: 15011, (Phone: 912 913 756. Email: info@pilgrim.es. Website: www.pilgrim.es). It is an online travel agency duly registered with the General Directorate of Tourism of the Xunta de Galicia under License XG-635.
The default language for the provision of services will be Spanish.
The trip is suitable for autonomous individuals who do not require assistance from another person or mechanical devices to carry out basic daily activities. In addition, participants must not have mental or behavioural disorders that could disrupt the normal harmony of the group.
Persons with reduced mobility who wish to receive precise information regarding the suitability of the trip according to their special needs, in order to assess the possibility and feasibility of booking the trip based on its characteristics, must inform the organizing agency or, where applicable, the retail agency, so that the necessary information can be provided. According to Regulation (EC) No 1107/2006, a person with reduced mobility is understood to be anyone whose ability to participate in the trip is limited due to physical disability (sensory or locomotor, permanent or temporary), intellectual disability or impairment, any other cause of disability, or due to age, and whose situation requires appropriate assistance and adaptation of the service to their specific needs in relation to the other participants on the trip.
Reservation request
A traveller who wishes to book a package travel makes a “booking request.” Following this request, the retail agency or, where applicable, the organizing agency, undertakes the necessary steps to obtain confirmation of the booking.
If the traveller requests the preparation of a tailor-made package travel proposal, the agency may require the payment of a fee for the preparation of the proposal. If the traveller accepts the package travel offer prepared by the agency, the amount paid will be deducted from the total price of the trip.
The agency shall not be responsible for booking errors attributable to the traveller or caused by unavoidable and extraordinary circumstances.
Booking confirmation
At the time of trip planning, reservations with accommodations are not made unless otherwise indicated, and they remain subject to availability until the reservation is processed following the client’s initial payment.
To confirm the trip, a payment corresponding to 30% of the booking, with a minimum of €100 per person, non-refundable, must be made within a maximum of 7 days from the confirmation date. The remaining balance of the booking must be paid no later than 30 days before the start date of the trip. Each time Pilgrim receives a payment from the client, we will send a notification confirming its receipt. Until the agency receives this payment, the booking will not be considered confirmed, and no associated arrangements will be initiated.
The client holding the reservation must provide a photo or copy of their ID or travel document, as well as the full name and identification number of each member included in the reservation. Additionally, for billing purposes, it is essential to provide the full address of the person making the payment.
For quotations prepared on a custom basis according to the client’s requests, the booking process can be carried out directly via the “Book” button included in the itinerary, by email at info@pilgrim.es or reservas@pilgrim.es, or by calling Pilgrim’s customer service phone line. These quotations are valid for 30 days from the date they are sent.
For packaged experiences published on Pilgrim’s main website or trip plans created directly by the client through our Web Planner, the booking process should preferably be carried out through the platform designed for confirmation and payment. However, in cases where it is necessary to modify any aspect of the trip that cannot be done directly through the platform and requires the intervention of an agent, the booking may be made using the aforementioned methods.
In the case of experiences and itineraries created directly in our Web Planner and purchased directly through it, the booked accommodations and included services are subject to confirmation by the agency. The agency will verify that the planned itinerary is feasible from a logistical and technical standpoint, as well as confirm the absence of errors in the price indicated at the completion of the planning. For this reason, the itinerary is not binding, even if the user has completed and paid for the purchase.
If it is not possible to carry out the Camino for any of the circumstances mentioned above, including specifically the lack of availability of accommodation that meets Pilgrim’s minimum quality standards, the client will be entitled to a full refund of the amount paid. However, Pilgrim Travel will not be obliged to do so when the cancellation is due to force majeure: circumstances beyond the control of the person invoking them, abnormal events, unavoidable consequences, etc.
Price and payment methods
All prices indicated are valid, except in the case of typographical errors, until they are modified in writing. Pilgrim reserves the right to change the price of any experience or service published on the website based on the season of the year without prior notice.
Quotations provided to clients are valid for 30 days from the date they are sent, except for temporary promotions with specified end dates indicated in the quotation, via email, or by phone, or in special quotations where otherwise stated due to accommodation availability or the availability of any requested services.
Payment for the booking can be made by bank transfer, credit or debit card, or via PayPal, in accordance with the specifications detailed in the payment schedule.
Payment schedule
The outstanding amounts, corresponding to the difference between the amount paid as a deposit and the total price of the trip (including any services added afterwards), must be paid no later than 30 days before the start of the trip, provided that the bookings are made more than 30 days in advance.
Pilgrim will always try to contact the client to remind them to pay the remaining balance of the trip, but it is the client’s responsibility to make the payment or to request from the agency the necessary means to do so in case they do not receive a reminder from the agency.
For bookings made between 30 and 11 days prior to the start date of the trip, the total amount must be paid within 72 hours of sending the booking confirmation, using any of the available payment methods.
For bookings made between 10 and 4 days before the start date, the payment will be 100% of the total amount and must be made by credit card, debit card, or PayPal within 24 hours of sending the booking confirmation.
Bookings made less than 72 hours before the start of the trip will be considered last-minute bookings and will be subject to the rules and conditions outlined in the following section.
Last minute bookings
Bookings made within 72 hours before the start of the trip will be considered last-minute bookings and will be governed by the following rules and conditions.
- The payment must be made in full (100%) by credit card, debit card, or PayPal before 3:00 PM on the day of confirmation.
- If the payment is made within the stipulated time, and the agency is unable to confirm the booking, the full amount will be refunded within 24 hours.
- In the event that changes to the category of accommodations or services are necessary, the client will be informed of the alternative. A refund will be issued if there is a downgrade or if the service cannot be provided, or a supplement will be requested if it is necessary to upgrade the category or modify the service.
- If it is necessary to modify the end of a stage with transfers, Pilgrim will cover one transfer. If additional transfers are required, these must be paid by the client. Any such supplement will be communicated within a maximum of 24 hours.
- The maximum duration of the trip in this case is 10 nights.
- Bookings will only be accepted with at least 48 hours’ notice for the routes covering the last 100 kilometers of each Camino and the Santiago – Fisterra/Muxía epilogue, with a maximum of 7 nights in all cases. In such cases, the full payment for the booking must be made before 3:00 PM on the day prior to departure.
- The minimum notice required to book a trip on the Camino del Norte is 10 days.
- Pilgrim Travel will refund the client the full amount paid if it is forced to cancel the experience due to the lack of availability of accommodations that meet the minimum quality standards required for the proper provision of the service, or for any other logistical reason(s) that prevent the correct execution of the trip from the start date requested by the client.
- However, Pilgrim Travel will not be obliged to do so when the cancellation is due to force majeure: circumstances beyond the control of the party invoking them, abnormal events, unavoidable consequences, etc.
Modification of the reservation
Once the client has confirmed the booking by making the corresponding initial payment, the following conditions will apply:
The administrative fees to be paid in the event of requesting a modification that requires changes to the itinerary or travel dates will be as follows:
- €25 per person for bookings of 1 to 6 nights
- €40 per person for bookings of 7 to 14 nights
- €60 per person for bookings of 15 or more nights
The client may modify or add any service not included in their booking up to 5 days before departure.
Modifications or additions that do not require changes to the itinerary or travel dates will be exempt from this fee.
Modifications to accommodations made at the client’s own request, for example, if they wish to extend or shorten a stage or finish the Camino earlier than planned, will not be accepted with less than 1 business day’s notice and will incur the modification fees indicated above, as well as any penalties applied by the reserved accommodations.
Modifications that result in a change to the initially confirmed price (e.g., seasonal changes) will require the client to pay the difference, in addition to the administrative fees for the modification.
Transfer of the booking
The main booker or the beneficiary may transfer their booking free of charge to a person who meets all the required conditions, provided that this is communicated in writing at least 15 days before the start date of the trip.
The person transferring their booking and the transferee will be jointly liable to the Agency for any outstanding payments, as well as for any justified additional costs that may arise from the transfer.
Trip management
Travel Documentation
After all the necessary arrangements for your route have been completed, we will send your travel documentation by email, accompanied by your travel insurance policy.
The estimated period for sending your documentation is 30 days before the start of your trip.
Until 100% of the booking payment has been confirmed (in the case of instalment payments, until we receive the 70% corresponding to the second instalment), you will not receive the travel documentation by email.
The client is obliged to carefully review all the contents of the travel documentation, as well as the instructions provided regarding the booked services or accommodations, paying special attention to the dates, locations, and any notes accompanying each stage.
Any questions or errors detected must be reported to the agency as soon as possible.
Accommodations and type of room
Accommodations along the Camino fall into the following categories: publicly owned hostels, privately owned hostels, guesthouses, pensions, hotels, rural houses, apartments and tourist rentals, pazos, and Paradores. Pilgrim does not make reservations in publicly owned hostels; therefore, the term “private hostels” refers to privately owned hostels and does not imply that the rooms reserved in these establishments are for the exclusive use of the client.
All pilgrims who booked their reservation in hostels must travel with their own sleeping bag. Pilgrim Travel provides sheets for all bookings in this category of accommodation for its clients; however, in certain hostels they are not offered, or, in accordance with national regulations, they may be made of paper. Therefore, for both comfort and warmth, it will be necessary to have your own sleeping bag.
Breakfast generally starts between 7:00 and 8:00 AM, although this depends entirely on the policy of each establishment. Therefore, Pilgrim is not responsible if the client wishes to have breakfast outside the schedule set by the accommodation, especially if they wish to do so earlier.
Regarding the type of room selected, the type indicated by the client as a priority will be guaranteed whenever availability allows. However, the following adjustment scenarios may occur due to lack of availability:
- a. That a client with a single room be assigned a double room for single use.
- b. That a client with a double room be assigned a triple room for double use.
- c. That a client with a double room be assigned a twin room (two separate beds)
Category changes and transfers
Pilgrim reserves the right to modify the type of accommodation if the availability of the selected type at the indicated stage does not meet the required quality standards or if there are no accommodations available of the contracted type.
In those quotations made for a specific accommodation category, and in the event that no availability of this type of accommodation exists at the time the booking procedures begin, Pilgrim reserves the right to apply a supplement for an upgrade in category. In such a case, the client will be informed by email and/or telephone in order to accept or decline the supplement, and may proceed with the reservation after payment of the corresponding amount. If, on the contrary, the supplement is declined, the reservation will be cancelled and the amount previously paid will be refunded.
Accommodation along the Camino de Santiago is sometimes limited, so the accommodation at the destination, that is, at the end point of the stage, is subject to change depending on availability at the time of confirming the booking. The lodgings may be located in urban areas, directly on the Camino route, in surrounding areas, or further away. If a transfer is required in the latter case, Pilgrim will cover the cost of this transfer; however, if additional transfers are needed, these must be paid by the client, who will be informed in writing of the cost to be paid.
In cases where the end of the stage is altered due to the location of the reserved accommodation, the pilgrim must finish the stage at the indicated accommodation. For deviations of more than 3 kilometres (on foot) or 8 kilometres (by bicycle), a private transfer will be provided under the conditions mentioned above.
Booking with own bicycles
All pilgrims traveling the Camino with their own bicycle must bring a lock to secure it, as the spaces provided by the accommodations may be shared with other pilgrims or guests of the establishment.
If Pilgrim arranges the transfer of the bicycle from the client’s home to the starting point, it must be properly packed, protected, and labelled for correct transport to the accommodation reserved by Pilgrim. If the first accommodation is arranged directly by the client, they must ensure that the hotel accepts, receipt and storage of the bicycle until their arrival at the property.
If Pilgrim arranges the return of your bicycle once the Camino has been completed, it must be dropped off at the collection point indicated for this purpose in your travel documentation.
Bookings with rented bicycles
The rental of our BTT bicycles (mountain bikes) or eBikes (electric bicycles) is governed by specific general conditions and its own cancellation policy. You can view the terms for both by clicking here.
To fully confirm a bicycle rental service, the €200 deposit per bicycle must be paid at least 30 days before the start of the trip. If the deposit has not been paid by this deadline, the service will be considered cancelled by the client, and no refund will be granted. The rest of the package will remain valid unless the client expressly indicates otherwise.
If the client travels with one of our rental bicycles, they are responsible for ensuring its safety at all times. It is mandatory to secure the bicycle and use the lock at every stop during the stage, as well as at the accommodation where they stay overnight. Likewise, the client must keep the bicycle and all rented equipment in good condition, cleaning it after each stage and immediately reporting any technical issues that are detected.
Bookings with pets
If traveling with your pet, you should take the following aspects into account:
- The type of room and accommodation booked will be prioritized, but since the number of pet-friendly accommodations is limited, adjustments may be necessary, which will be communicated to you before the start of the trip.
- If traveling with more than one pet in the same room, it may be necessary to book additional rooms due to the policy of each accommodation, and the corresponding supplement will apply. This supplement will be communicated to you in writing before the start of the trip.
- If traveling with more than one pet, but in different rooms, it may be necessary to split the booking across more than one accommodation.
- As a general rule, pets are not allowed in the breakfast rooms of the accommodations.
- As a general rule, pets are not allowed to stay alone in the rooms.
- Pet owners will be held responsible for any damage caused by their animal in the accommodations.
- It is essential to bring a car harness in case a transfer is required.
- It is recommended to bring a muzzle in case it is required at any establishment along the Camino where you plan to enter with your pet.
Bookings for people with special needs
If you are in any of the following situations, we recommend that you inform us during the booking process in order to facilitate communication of these conditions to our suppliers:
In the case of reduced mobility, it would be advisable to inform us:
- If someone is accompanying you.
- If you are completely dependent on a wheelchair.
- If you use a wheelchair, whether or not you are able to walk, what is its width?
- If you are able to walk partially: Can you climb steps? Will you move around the room using the wheelchair?
If you are traveling with a respiratory machine or CPAP, it would be advisable to inform us:
- Approximate size/weight.
- Whether it requires a constant power connection.
- Whether you will carry it with you or include it in the luggage transfer.
If you need to store medication in a cool environment, it would be advisable to inform us:
- Type of medication (approximate size).
- Whether it needs to be kept in a refrigerator or freezer.
- Whether you need 24-hour access to it.
In the case of food intolerances, preferences or allergies, such as:
- Celiac
- Vegetarian / Vegan.
- Dairy intolerance.
- Specifics allergies (dust, cleanings products, peanuts, shellfish…).
Pilgrim’s lack of knowledge of one or more of these needs in a timely manner (i.e., before the start of the trip) may limit its ability to provide a service that meets the client’s requirements, and the client will have no right to make any claims in this regard.
Included services
The included services are those specified in the travel datasheet of the experiences on the website www.pilgrim.es or, in the case of customized quotations, those explicitly listed under the “Included Services” section in the budget sent to the client by email and/or in PDF format.
Travel documentation, travel insurance, and the Pilgrim Credential are included by default in all our packages.
Travel documentation and travel insurance are essential for the proper conduct of the trip and therefore cannot be excluded from your package under any circumstances. In the case of the Pilgrim Credential, it can be removed from your experience if you do not wish to include it or if you already have one, without affecting the price of the service, as it is a complementary item provided completely free of charge by Pilgrim to its clients.
The Pilgrim Credential is usually sent to the first accommodation booked for our clients or, if not applicable, to the client’s home, as indicated in their travel documentation. In cases where the client purchases their experience 4 days or fewer before the departure date, we cannot guarantee that we will be able to provide the Credential. In such cases, we will inform you of the locations where you can purchase one yourself, at an average cost of €2 to €3.
Pilgrim is not responsible if clients in this situation, who book with such short notice, do not have a Pilgrim Credential to collect stamps during their itinerary.
Optional Services
Optional services are those specified in the travel datasheet of the experiences on the website www.pilgrim.es or, in the case of customized quotations, those explicitly listed under the “Optional Services” section in the budget sent to the client by email and/or in PDF format.
Optional services are not included by default in the total price indicated, and it is the client’s responsibility to expressly specify which ones they wish to book when confirming the trip.
The luggage transfer service between stages, if booked, will be carried out exclusively on those stages defined in the quotation or travel program that are completed on foot or by bicycle, never using a means of transport such as a vehicle, train, bus, or similar. Whenever the itinerary includes a transfer from one stage or Camino route to a different one, whether arranged by the Agency or by the client, it is the client’s responsibility to carry their luggage to the next point. This service is only available from April to October; for services outside this period, please consult the agency.
Required documents to travel
All persons registered for the trip are responsible for having the necessary documentation in order for the country being visited (ID card, passport, visas, health insurance cards, etc.). The Agency provides information regarding these requirements, but it is the client’s responsibility to confirm them with the relevant authorities.
In the event that, due to missing or incorrect documentation, the client is forced to cancel or abandon the trip, the Agency will apply the conditions stated in the cancellation policy. Current Spanish law requires that you always carry an official identification document during the trip, so we strongly recommend traveling with your valid ID card (DNI), NIE, or official document from your country of origin.
Some accommodations may request a credit or debit card upon arrival as a guarantee, and may place a hold or charge in case of damage, violation of the establishment’s rules, or additional expenses not initially included in the booking (e.g., minibar, laundry, or local taxes). Any use of this guarantee is the sole responsibility of the accommodation, with Pilgrim acting only as an intermediary between the traveler and the establishment.
In the case of bookings for minors traveling without adult accompaniment, the following conditions will apply:
-
a. Minors residing in Spain.
Since no minimum age is established for traveling alone under current legislation, it will depend on the minor’s ability to manage during the trip, as well as the conditions set by the service providers.
If the minor is going to travel alone on public transportation, it should be noted that many companies offer an escort service for minors during the journey. Some require a minimum age of 4 years. This service must be requested when purchasing the ticket, the company’s rules must be followed, and the adult must remain with the minor until they board the transport. The minor will be handed over only to the person whose details have been authorized by the parents or guardians upon arrival at the destination.
All traveling children over 14 years old must carry an ID card or passport. The ID card is mandatory in Spain by law from that age. If the trip is within Spain, it is not compulsory for children under 14 to have one, but if the relevant authorities require it, they will need to provide alternative identification. One of the documents that can be used is the family book.
In the case of foreign minors residing in Spain, their legal representatives, or the minors themselves in accordance with the provisions of their respective national regulations, must contact their consular authorities to complete the necessary documentation according to their national legislation.
-
b. Minors not residing in Spain.
The rules regarding foreign minors are governed by the provisions of their national legislation; therefore, it is the responsibility of their legal representatives (parents or guardians) to comply with the regulations for leaving their country and traveling to Spain unaccompanied by adults. In the case of foreign minors who are in Spain and are leaving the national territory, they must carry a valid passport from their respective country or a valid travel document.
Documents required to rent a car
To rent a vehicle, it is necessary to have a valid driver’s license, as well as a credit card (it is important that the card is a physical one, as virtual cards will not be accepted) in the name of the person who made the reservation, since it will serve as a guarantee against any damage or incident involving the vehicle. Both items are essential in order to pick up the rental vehicle, even if the service has been paid for in advance, and it is the customer’s responsibility to have them at the time of vehicle collection. If they are not provided, the service may be cancelled without any right to a refund.
Tourist Taxes
In towns where tourist taxes are in effect, these must be paid directly by the guest at the accommodation, and the amount will vary depending on the town, type, and category of the lodging.
Cancellation Policy
1. Cancellation of the entire trip
In the event that the guest cancels the trip entirely before the departure date, the following provisions will apply:

Cancellations received outside business hours will be processed on the next business day, which will be considered the effective date of the cancellation
